Sterling Memorial Library (SML) and Mudd

Two classification systems are used to arrange books in the SML stacks: Old Yale classification and Library of Congress (LC) classification. Most LC call numbers can be so identified by the presence of the designation "(LC)" as the last element of the call number. The exceptions are (1) D, PA-PZ, and Q, which are LC call numbers in which "(LC)" does not appear as the last element of the call number and (2) Near East, which appears as a stamp above an LC call number in which the designation "(LC)" does not appear as the last element of the call number. 

Material with an Old Yale call number in one of the following classes (A B C F G H I J K) is shelved in the SML stacks; material with an Old Yale call number in one of the following classes (E L M N O P R S T U V W) is shelved in Mudd. 

Creating ORBIS records for Official Card Boxes for LSF Transfer

Creating ORBIS records 

In order to move completed Official Catalog Boxes to LSF, nineteen ORBIS records will be created to keep track of the 9060 boxes of the Official Catalog cards. For the efficiency of this process, each record will describe a maximum of 500 boxes at the bibliographic,holding and item levels. 

Bibliographic Record:

  • Create a new bibliographic record by deriving from the template record: 
  •   Leaders 
      Bibliographic level: m monograph/item 
      Encoding level: 7 minimal level

    • Create five MFHD records for the holdings, each representing 100 boxes: 
    •   Use"81"for the 852 field indicators

    •   Record the beginning and ending numbers of every array of 100 boxes in the call number fields ‡h and ‡i

    •   Input the main entry if the first card in the box of the ENUM field following the instructions in How to Imput Main Entry Headings on Item Records
    •   Record the individual box number in the SPINE field

How to Input Main Entry Headings on Item Records:

  •   Click the Search button to bring up a search window
  •   Search the main entry heading of the first card
  •   Display from the index window a bib record that contains this heading
  •   Copy the form of heading from the bib record
  •   Switch to the item record window and paste the heading into the ENUM field
  •   Truncate the heading if necessary
  •   Type in the heading following the normalization rules below if the heading is not found from the search

ORBIS Normalization Rules:

  •   Leading articles are deleted for main title entries
  •   All alphabetic characters are set to upper-case
  •   Diacritics and leading characters are deleted
  •   Apostrophes are deleted; all other punctuation characters are replaced by a space
  •   Delimiters and subfield codes are deleted
  •   The music symbol for "flat" is replaced by its spelled out version (FLAT)
  •   The music symbol for "sharp" is deleted
  •   Greek characters are carried as upper-case alphabetic characters
  •   Superscripts are replaced by asteriks
  •   Subscripts are carried as simple numbers
  •   Data inside the angle brackets is deleted if the first four characters following the left angle bracket are "i.e."
  •   Following completion of the above normalization if more than one space in a row exists, the extra space is deleted
  •   Diagraphs are carried as two upper-case alphabetic characters

Official Card Catalog OCLC Skip List

OCLC will skip the following types of cards:

  • cards for headings
  • cards for references
  • cards representing added entries (author and title)
  • RLIN-printed cards
  • temporary slips
  • cards for "in" analytics that do not provide (1) the title of the analytic (2) a description of the parent item and (3) an indication of the location of the analytic in the parent item
  • cards representing material in one of the following languages: Chinese, Japanese, Korean, Persian, Arabic, Hebrew, and Yiddish.  However, OCLC will process cards with non-Roman alphabet characters representing materials in all other languages, including Greek and Russian. OCLC will update matching WorldCat records only; OCLC will flag for the attention of Yale staff cards for which a matching record is not found.

The following locations were encountered by OCLC staff in the Official Catalog and did not appear on either the SKIP list or the PROCESS list. Consequently, OCLC staff skipped and flagged cards with these locations. When CMT staff members encounter such flagged cards they should consult this document to determine the appropriate action to be taken.

Connecticut and Historical MSS Room File the card in the "undocumented locations" box. Items represented by these cards appear to have been recataloged for SML Mss & Archives. Checking finding aids in Mss & Archives in the future should resolve any problems.

Conservation Library File the card in the "undocumented locations" box. Conservation Library was an earlier name of the Forestry & Environmental Studies Library.
Documents Room Ref File the card in the "undocumented locations" box. Once part of the reference collection in SML, this collection was apparently moved to Government Documents in Mudd.
E (Physical geog.) File the card in the "undocumented locations" box. The books represented by these cards are probably at Mudd at the beginning of the Old Yale "E" range.

Henry Taylor Skip These cards are purchase requests, purchase records, or accessions, and the books they represent have been cataloged for Beinecke.
Inst. Far East Lang. File the card in the "undocumented locations" box. The Institute ceased to exist in 1965, and its functions were split between two university departments, the Dept. of East Asian Languages and Far Eastern Publications. The books these cards represent, if they still exist, are probably housed with one of the departments. Yale University Library may have ceased to take responsibility for this collection at some point.

However, if the collection still exists, it is likely to be part of the Human Relations Area Files (HRAF), an independent research agency of Yale University started by the Institute. HRAF are all on microfiche in the microtext room.
