Restricted Records Retrieval Request
Authorized staff from Yale University offices may request files from accessions transferred from their offices to Manuscripts and Archives. If you are not authorized, proceed with the form below and you will be contacted by the University Archives about authorization.
The University Archives has updated its services to an online retrieval system (Aeon) which allows offices to order their records directly from a special finding aid inventory. Yale staff can find these finding aids by visiting the Inventories by Office webpage found at: http://web.library.yale.edu/mssa/offices/inventories/list-by-office to locate the appropriate department and the appropriate finding aid. Some of these finding aids are restricted and require an additional login using your netID and password. Click here to see how to enter your login and password. Note: you must first be granted access to this system the by University Archives staff.
Once you locate the appropriate finding aid and open it in your web browser (Internet Explorer preferred), find the appropriate folder listing in the inventory. A request link will be displayed to the left of the folder or box title. Click on this request link to request. You will be asked to provide your netID and password for the Aeon request system. After a few moments, a request form will be displayed with your requested information already filled out. Add any additional notes necessary to explain unusual aspects of the request. Then press submit to submit your order. Click here to display an example of a filled out request form. You will be notified as soon as you can pick up your files (usually in 1-2 working days)
If your department is not among those listed in the Inventories by Office page, or you are having difficulty either registering or requesting records, please contact University Archives at firstname.lastname@example.org.
Records should be checked-out from the University Archives no longer than two weeks. If you require the records for longer than two weeks, please contact Michael Lotstein at email@example.com to make special arrangements. If you'd rather have copies, you may now choose to receive digital copies (PDF) via electronic file transfer. Digital copies cost $5.00 per folder. Please add a note to the request form indicating your preference for digital copies, including the PTAEO to charge.
